H2A Committee Information

PUBLIC RELATIONS - Lindy Felix & Jennifer Kerr

Ø      Work with the Coach before and after swim meets to get the results from swim meets in the paper.

Ø      Alert the paper of higher level meets.

Ø      Work with Fundraiser co-chairs to get the word out about upcoming fundraisers.

Ø      Work with the team photographer to put together the slide show for the banquet.

Ø      Works to promote team building activities" (ex: secret swimmer)

Ø      Sends blast e-mails to sponsors to let them know team progress and achievements.

Ø      Helps compile and distribute literature and e-mail slideshows throughout the community.

CORPORATE SPONSORSHIP- Chris Ellixson

Ø      Work with the President and Treasurer to find out the expiration dates of the current sponsors.

Ø      Send out flyers to the membership to see if anyone is interested in putting their business on the board.

Ø      Write a letter and send it out to various area businesses to find out interest. 

Ø      Follow up the letters with phone calls or personal visits to the business.

Ø      Work with the Public Relations person to see get copies of our team sponsor disk.

Ø      Update the board with all new sponsors.

SOCIALS -

Ø      Work with the Pre-Team, Nova, Bronze Group Coach to find out what kinds of socials they would like planned (beach socials, bowling, Bring a friend Friday, Ice skating)

Ø      Book the dates and times and alert the membership know.

Ø      Secure and date and time for the team banquet in August (St. Francis or the Moss Creek pavilion).

Ø      Alert membership of the date, place and time.

Ø      Work on the swimmer gift for each swimmer.

Ø      Work on gift for those swimmers who will be graduating from High School.

Ø      Prepare the menu

Ø      Send out e-mails to let membership know what kind of foods will need to be brought.  Dessert and appetizers are brought by the membership.

Ø      Choose a theme and buy decorations.

Ø      Make sure there are enough paper goods.

Ø      Purchase drinks.

Ø      Get volunteers to help with set up and clean up.

Ø      Make sure that you have the equipment available for the slide show.

Ø      Print the banquet booklet, one per family.

REGISTRATION

Ø      Attend monthly H2A Board Meetings

Ø      Be on deck for the first week of practice for the new Short Course to help answer questions from new swim families

Ø      Make copies of completed forms to give to Treasurer (along with payment), coach for USA registration, Registration book, and Deck book (for emergency).

Ø      Keep the roster up-to-date and team bulletin board with monthly calendar.

Ø      Update the Board, Coaches, Newsletter, Public Relations, Fundraising, and Clothing Chair persons on the roster weekly.

Ø      Make sure each team member receives t-shirt, practice cap, and team cap as noted on their registration.

Ø      Keep the team mail box up-to-date with each new team member.  Updating new and taking out swimmers that have left the team.  Including making sure that there are always copies of registration materials located in the mail box.

Ø      Be informative and friendly.  The registration person is generally the first person to greet a new swimmer. 

TEAM APPAREL - Carey Ann Kelley

Ø      Work with the Coach and the registration person to find out how many t-shirts will need to be ordered.

Ø      Coach Jack has a person who will do our silk screening for all our t-shirts and Debbie from Lettrs on Main Street does our embroidery.

Ø      Put together an order form to be put out to the membership that includes various clothing items.

Ø      Collect all monies and provide a spread sheet to the treasurer to keep track of the monies collected.

Ø      Book Augusta Swim Wear to come twice a year to sell team suits, practice suits, goggles, fins, and various other team wear.

Ø      Collect Parka orders from the membership and get them to Augusta swim Wear for processing.

Ø      Sell “fire sale” items to the membership to keep our inventory low.

GRANTS - Eric Wammock

Ø      Seek grants for the team to apply for that would help with defraying the cost of equipment, team travel, and various other team related expenses.

TEAM PHOTOS

Ø      Organize team photo shoot.

Ø       Send out e-mails to let the membership know the date, time, location, and team shirt or suit to wear.   This includes securing location, coordinating date and location with photographer, distribution and collection of order forms and monies.

Ø       Following up with make up day in the event of in climate weather.  Team photos are to be taken twice a year, fall and spring. 

Ø      The team photographer also aids in the distribution of the photos to the team members who purchased them.

Ø      The team photographer should also aid in the collection of photos from parents to help with the slide show for during the season ending banquet.

FUNDRAISING - Colleen Rzeczycki & Kim Collett

Ø      Work with the Treasurer and President to find out the team’s fundraising needs for the coming year and find out what number has been budgeted to be raised.

Ø      Look into various ways to raise the money.  Swim Marathon , Sally Foster, Birdies for Charity.

Ø      Secure dates for the upcoming fundraisers and alert membership of the upcoming dates.

Ø      Work on prizes for each swimmer.  Usually t-shirts, water jugs etc. have been given out in the past.

Ø      Post signage up at the pool that includes each swimmer’s name. As fund come in for that particular swimmer, post the monies so that it creates excitement among the groups.

Ø      Get exciting prizes for the top winners.  Donations from the community and membership have been very successful in the past.

Ø      Send out all flyers and pertinent information via the internet and have the information posted on the website.

Ø      Work closely with the Public Relations person so that the Community is aware of our fundraiser.

Ø      Keep membership updated on the progress of the fundraising activity.

Ø      Plan the day of activities for the swimmers for the final day of the fundraiser.  Usually, each family brings an appetizer or dessert and the team supplies pizza. 

HURRICANE MEETS - Suzanne Reamy

Ø      This includes timing, Concession Stand, making copies of the heat sheet, doing the computer to set up entries, and handing out ribbons.

 

All Families are encouraged to volunteer for at least one of our committees.  This is a great way to meet other swim parents and help out the team.  Please sign up for one of our committees on the sign up sheet attached to this registration form.
